Linked Total

Linked Total calculates Sum, Count or Average across tasks in a source form. Place it in the target form, for example Masters, to show each master's income from their linked orders.

What it is for

Use it as a numeric indicator in a card: total sales for a client, income for a master, average order value or number of related jobs. Sum adds the selected Number values; Average averages those values (not the sum); Count counts matching tasks. The source must currently be a different form: both the interface and backend reject the same form.

Example: total income in a master card

  1. In Orders, keep a Form field linking each order to a record in Masters, plus a Number field holding the order income. A Person field alone is not this record link.
  2. Open Profile → Configuration → Masters → Fields → Linked Total.
  3. Select Orders as the source form and the Form field linking an order to its master as the split/link field.
  4. Choose Sum and the order's income field.
  5. Optionally select the order statuses to include, for example completed orders if that is how income is recognised in your workflow.
  6. Save. Each master's card receives its own total.

Source task saves and deletions trigger recalculation. Recalculate in the field settings refreshes existing totals manually. The value is computed by the backend and is not directly entered in the card.

Commission from income and the master's percentage

Keep the percentage in the master card and reference Linked Total in a calculated Number:

  • If the percentage is the commission rate: Commission = Total income × Percentage. At 20% of 1,000, commission is 200.
  • If it represents the master's share: Master payable = Total income × Percentage, and Business commission = Total income − Master payable.

Name the field clearly so the two meanings are not confused. Percentage options store fractions, so 20% is 0.20. If a plain Number stores 20 instead, divide by 100 in the formula. The user's Rate is a separate unit rate, not this percentage.

Other settings and limits

  • Sum and Average require a numeric source field; Count counts matching tasks.
  • A link field gives a separate result for every target record. Without a link, the total is shared across target records; a status filter is then required.
  • Status filtering uses the source task status. No date-period filter is provided in this field's current settings: a monthly report needs separate period filtering/reporting.
  • Configure decimals, money formatting and currency as needed. Formatting does not convert currencies.
  • Linked Total is different from Linked Calc, which applies numeric adjustments, and from Balance, which tracks movement rules.

AI-Admin can explain these settings and inspect an existing field, but its current field tools cannot create or edit Linked Total; configure it in the interface.

Backend type: LinkedTotalField.
